STUDENT ACTIVITIES COMMITTEE

Objective

• Enhance Campus Life: To enrich campus life by organizing a variety of social, cultural, and recreational activities that cater to the diverse interests of the student body.
• Foster Community Engagement: To foster a sense of community and belonging among students through inclusive and participatory events.
• Develop Leadership Skills: To provide students with opportunities to develop leadership, teamwork, and organizational skills through active participation in event planning and execution.
• Promote Diversity and Inclusion: To celebrate and promote cultural diversity and inclusion by organizing events that highlight different cultures, traditions, and perspectives.
• Support Student Interests: To support and promote student clubs, organizations, and initiatives by providing resources and a platform for their activities.
• Encourage Student Involvement: To encourage widespread student involvement in campus activities, ensuring that all students have the opportunity to engage and participate.

Rules and Regulations

Membership

• Open to all students interested in event planning and campus activities.
• Members must register by filling out a membership form.
• Active participation in meetings and events is expected.

Meetings

• Regular meetings will be held bi-weekly or as decided by the committee's executive members.
• Special meetings may be called by the Chairperson as needed.
• Quorum for meetings shall be at least 50% of the active members.

Event Planning

• Plan and organize a variety of events throughout the academic year, including social gatherings, cultural festivals, workshops, and recreational activities.
• Ensure all events are inclusive and cater to the diverse interests of the student body.
• Develop detailed plans for each event, including objectives, timelines, budgets, and responsibilities.

Budget and Finance

• The Treasurer shall maintain accurate records of all financial transactions.
• All expenses must be approved by the executive committee.
• Fundraising activities should be conducted ethically and transparently.

Promotion and Outreach

• Promote events through various channels, including social media, posters, and campus announcements.
• Engage with the student body to encourage participation and gather feedback on events.

Code of Conduct

• Members must conduct themselves professionally and respectfully at all times.
• Any form of discrimination, harassment, or misconduct will not be tolerated.
• Members are expected to work collaboratively and support one another in achieving the committee's goals.

Event Execution

• Ensure all events are executed smoothly and safely, adhering to institutional policies and regulations.
• Coordinate with relevant campus departments (e.g., security, facilities) to ensure logistical support for events.
• Collect feedback from participants to evaluate the success of events and identify areas for improvement.

Continuous Improvement

• Regularly review and update the committee's activities and processes to reflect changes in the student body's needs and interests.
• Solicit feedback from members and event participants to improve future events.

Record Keeping

• Maintain accurate records of all events, meetings, and communications.
• Ensure records are stored securely and are accessible to authorized members.

Amendments

• Any changes to the committee's rules and regulations can be proposed by any member.
• Proposed amendments must be discussed in a meeting and approved by a two-thirds majority of the active members present.
